Refund and cancellation policy
This policy applies to Toolkitbranch tech analysis training seats, workshops, and private coaching arranged with our Hanoi studio. It does not cover retail products or shipping—we do not sell those.
Eligibility
Refunds apply only to fees paid for confirmed training or coaching engagements with Toolkitbranch. Informational price lists on the website do not create a payment obligation until we issue a confirmation and invoice that you accept.
Timeframe for cancellation by participants
- Full refund of tuition paid: written cancellation received at least 14 days before the first scheduled session.
- Partial refund of 50% of tuition paid: cancellation between 13 and 7 days before the first session.
- No tuition refund: cancellation fewer than 7 days before the first session, or after the programme has started.
Non-refundable items
- Deposits explicitly marked non-refundable in your confirmation letter (used to reserve limited cohort seats).
- Third-party venue fees already incurred for a private on-site session, when those costs were disclosed in writing.
- Printed materials already produced for a private cohort after you approved the participant list.
Work already started
If private coaching sessions have begun, fees for completed sessions are not refundable. Unused future sessions in a package may be refunded pro rata if cancelled with at least 7 days’ notice before the next session, unless your confirmation states a different package rule.
Rescheduling
You may request to move to a later public cohort once, subject to seat availability, if you notify us at least 7 days before the original start date. Additional reschedules may be treated as a cancellation under the timelines above.
Deposits
Some programmes require a deposit to hold a seat. Unless the confirmation letter says the deposit is non-refundable, deposits follow the same timeline as tuition refunds and are credited toward the total fee.
No-shows
Failure to attend without prior written cancellation is treated as a late cancellation. No refund is issued for no-shows. Materials prepared for your seat are not transferable after the cohort begins unless we agree in writing.
Cancellation by Toolkitbranch
If we cancel a cohort or coaching series, you may choose a full refund of amounts paid for the cancelled sessions or a transfer to a future date at no extra tuition charge.
Refund process and timing
Email hello@toolkitbranch.click with your full name, programme name, payment reference, and reason for the request. We confirm eligibility within 5 business days. Approved refunds are returned by the original payment method when possible, or by bank transfer to the payer’s account in Vietnam, within 14 business days after approval.
Purchased materials
Digital templates included with tuition are licensed for participant use and are not separately refundable once delivered. Physical workbooks already handed out during a started programme are non-returnable.
Exceptions
We may grant goodwill exceptions for documented medical emergencies or government-mandated travel restrictions affecting attendance. Such exceptions are discretionary and documented in writing.
